- Opening Balance - This indicates what a staff member is entitled to for the current leave year/next year
- Remaining Balance - This indicates what the staff member has left out of their starting balance for the current leave year/next year
- Carryover Opening - This indicates what the staff member carried over into "This Year"
- Carryover Remaining - This indicates what the staff member has left out of their carried over balance for "This Year"
- Inc. Lieu - This indicates how many Lieu Days the staff member has accrued "This Year"
The Opening balance never reduces when leave is booked, this is a static figure for informational purposes of what they started the leave year with. The Remaining Balance is only ever used for balance deductions.
Each balance above can be manually adjusted at any time - EXCEPT for the Inc. Lieu balance which is driven by Overtime submissions that accrue Lieu Days, this balance never changes when leave is booked as it is a "hard" indicator of how much Lieu Time in total they have accrued.
When staff accrue Lieu Time, ONLY the Remaining Balance is increased. The Opening Balance is never increased.
In terms of what happens when leave is booked and the order of deductions, please find below an example of the order of deductions;
- John Smith starts the leave year with the following:
- Opening Balance - 20 Days
- Remaining Balance - 20 Days
- Carryover Opening - 0 Days
- Carryover Remaining - 0 Days
- John then books 5 days of leave, which get deducted from his Remaining Balance
- John's Remaining Balance is then reduced as follows;
- Opening Balance - 20 Days
- Remaining Balance - 15 Days
- Carryover Opening - 0 Days
- Carryover Remaining - 0 Days
- John's manager then gives John 5 Days of Carryover, so his balances now look as;
- Opening Balance - 20 Days
- Remaining Balance - 15 Days
- Carryover Opening - 5 Days
- Carryover Remaining - 5 Days
- John then books a further 3 Days off, which now gets deducted from his Carryover Remaining balance
- John's balances now look as;
- Opening Balance - 20 Days
- Remaining Balance - 15 Days
- Carryover Opening - 5 Days
- Carryover Remaining - 2 Days
- Next, John proceeds to book a further 5 days, which get deducted from both the Carryover Remaining and Remaining Balance
- The balances now look as;
- Opening Balance - 20 Days
- Remaining Balance - 12 Days
- Carryover Opening - 5 Days
- Carryover Remaining - 0 Days
- Finally, John gets an Overtime request approved which grants him 1 Lieu Day, his balances now show as;
- Opening Balance - 20 Days
- Remaining Balance - 13 Days
- Carryover Opening - 5 Days
- Carryover Remaining - 0 Days
- Inc. Lieu - 1 Day
- Not forgetting that the Inc. Lieu value is just an indicator and does not reduce once leave is booked. Only the Remaining Balance is deducted from
- This results in a Total Available to Book balance of 13 Days.
With the deductions of allowance, the system will always deduct from a staff members' Carryover Remaining balance first, if there is a Carryover Remaining Balance available. Once the Carryover Remaining is exhausted, further leave deductions are made from the standard Remaining Balance.
